SECURITY Full Access or Team Access privileges in Workplace Manager
NAVIGATION
The Reports tab allows administrators to report on users, projects, devices, and activity within Workplace, and to export reports. Team, device, user access, and project reports have slightly different filters available, but they all work the same way.
Special reports are preconfigured by Workplace and require no filter selection.
NOTE You may report on Workplace data for the last six months (180 days).
You may also:
- Create and save the reports that you run on a regular basis
- Schedule reports for automatic generation and email delivery
- Export reports
The reports on this page are comprised of five columns:
Icon: The icons represent the group of event types to which the item belongs.

Event Type: The category of event that took place.
Event Details: More detailed information about the report event.
User: The name of the user who initiated the event.
Date: The date and time the event took place.
The filters and filter options available for each standard report are listed below. For special reports, we've listed the columns for each special report type.

SECURITY Some special reports are only available to Super Administrators.
Special report criteria are preconfigured, so you won't select criteria. Instead, you'll select the type of special report you wish to run. Below, we've listed the columns for each of the available special report type.

How to...
- Click Team, User Access, Devices, or Projects to select your report type.
- Click the link for the type of filter you want to add (e.g. Event Type).
- In the dropdown area, either:
- Select the specific filter value you wish to apply, or
- Enter the filter criteria and click the Filter link.
- The report will refresh to display events that match the filters you have selected.
NOTE You can add as many filters as you like. To remove a filter, click the next to the filter.
- Click Special.
- Select a report from the dropdown menu.
- Your report will be generated automatically.
NOTE A maximum of 100,000 events can be exported. If that amount is exceeded, the report will be truncated.
- When viewing a team, user access, or project report, click the Export button.
This will open the Export Report popup: - Click the Export button.
- When the report has been generated, it will automatically be saved to a project called Activity Reports, and the following popup will display:
- Click the appropriate button to select one of the following options:
- Download Report
This option will allow you to either open or save the report in .xlsx (Excel) format. - View Report
This option will open the report in a .pdf viewer. - Open Activity Reports
This option will open the Activity Reports project in a new instance of Workplace.
NOTE These options are not mutually exclusive. If you select an option, the popup remains open. You can select each of the options in succession, or as many times as you like.
- Click the X in the upper right corner of the popup to close it.
- When viewing a special report, click the Export button.
- You will be prompted to either open or save the report in .xlsx (Excel) format.
- Select your report and, if applicable, your report criteria.
- For team, user access, or project reports, click the Manage Reports button and select Save current report. For special reports, click the Schedule Reports button and select Schedule current report. This will open the Save Report popup:
- Enter a name for your report.
- For special reports, the schedule area is displayed automatically. For team, user access, and projects reports, optionally select the Schedule automatic creation of the report check box. If you do not wish to schedule the report, skip to step 6.
- Complete the scheduling fields as follows:

When to create the report (Daily, Weekly, Monthly) |
Select a radio button to set the report occurrence frequency. If you select Weekly, you must also select a day of the week. If you select Monthly, you must also select a day of the month. NOTE If you select a day of the month that the month does not contain (for example, a report scheduled to run on the 31st of every month will eventually run in February, which only has 28 days), the report will run on the last day of the month in that instance. |
Time | Enter the time at which the report should be generated in HH:mm format. This field using a 24-hour clock rather than AM/PM. If you wish to schedule a report for 2:00 PM, for example, you would enter 14:00. |
Time Zone | Select the time zone you wish to use for scheduling this report. |
Where to save/send the report |
These check boxes allow you to decide what will happen to the scheduled report when it is automatically generated. You must select at least one of these options: Send by email
You may select anyone on the team or any Workplace Manager user as the recipient. When the scheduled report is generated, it will be emailed to the recipients listed here. Save to project

- Click the Save button.
- Click the Manage Reports button.
- Click the name of the saved report you wish to run.
- Click the Manage Reports button and select the report you want to schedule.
- Click the icon in the upper right corner of the report.
- Select the Schedule automatic creation of the report check box.
- Complete the scheduling fields as follows:

- Modify the report schedule as needed.
- Click the Save button.
- Click the Manage Reports button and select the report you want to schedule.
- Click the icon in the upper right corner of the report.
- Click the Delete button in the confirmation popup.
