Scenarios and workflows
IMPORTANT These workflows are only available to users who configured their Autotask integration before the release of our Integrated Billing via Autotaskfeature.
Basic integration features
When you use the Autotask/Workplace integration, it is vitally important to keep the following facts about the integration in mind at all times.
The integration will ensure that for each Autotask company that is synchronized with a Workplace team, the Autotask Workplace Enterprise contract is created automatically.
It will also ensure that there is only one Autotask Workplace Enterprise contract. Even if you created a second contract that contained Workplace services, the unit counts for those services would be reduced to zero, and the services would be automatically added to the existing contract.
Workplace Manager completely controls the number of licenses and the amount of storage available to a team.
IMPORTANT If you change the number of units in the Autotask contract, they will not be updated in Workplace.
The cost and price of Workplace services in Autotask Admin > Features & Settings > Products and Services > Services is determined by the Unit Cost and Unit Price synced from Workplace Manager.
As is true for all billing items in Autotask, the contract that governs a recurring service determines the actual price charged to the client for the service, regardless of the default price and any changes to it.
Supported workflows
Once you have configured the Workplace Manager integration with Autotask, the following workflows are supported:
- Link an existing team to an Autotask company, or create a new company in Autotask. Both scenarios will automatically create the Autotask Workplace Enterprise contract. Refer to Map a Workplace team to Autotask.
- Add or remove services to an existing team subscription and have the changes synced to the Autotask contract. Refer to Add or remove services on a team subscription.
